NEWS FROM THE DESK OF THE HEAD OF DEPARTMENT
As the days are becoming shorter and we are approaching the end of 2024 I would like to give you some insight into what has kept me busy during the last couple of months.
Kemishow (Chemistry Show): The Kemishow accident in Tønder gave a very busy week dealing with the aftermath of the accident and especially handling the press. Following the unfortunate events - work to improve safety for the Kemishow presenters and audience has been initiated. This includes systematic reviews and improvements of all the APBs (workplace instructions manuals) for each demonstration experiment in the Kemishow repertoire. Furthermore, the handling of each experiments has and will be systematically reviewed by an experienced employee. Great thanks go to Prof. Reinhard Wimmer for taking on the task of reviewing instruction manuals and handling of the experiments. The efforts in resurrecting the Kemishow has now been tested “in the field” with a hands-on workshop (kitchen chemistry) at a event for lab-technicians in Aarhus and an ordinary Kemishow at a LabSTEM conference at AAU with the attendance of gymnasium teachers. At both events our student employees were well received and had a good experience. Going forward Vice Head of Department for Studies Niels Thomas Eriksen will be the administrative anchor point for Kemishow.
Economy: The department has just submitted its second review of the 2024 finances and estimate for the annual financial statement for 2024. The preliminary result shows that the department will end up with a deficit of 4.5 million DKK. This is primarily due to the institute achieving fewer STÅ (Student Full-Time Equivalents) than expected, resulting in a revenue shortfall of approximately 2.5 million DKK. Additionally, our salary increase was 6% compared to the 3% estimate included in the budget. This extra salary cost has resulted in an additional expense of approximately 2.6 million DKK. In addition to this it should be noted that the original agreement that the department should be allowed make a deficit of 5.8 mio.as part of a strategic investment was cancelled due to the financial difficulties of the faculty. Although some of the strategic investments was stopped/postponed already in 2023, the department had already been committed to an investment of 3.3 mio. The effect of this have primarily been mitigated by a relative strict economic policy at department level, focused on reducing internal expenses and investments.
The estimate for the final annual financial statement is uncertain (keep in mind that the total turnover of the department is close to 250 mio.) Consequently, as already announced, it is important to reduce internal expenses for the rest of the year. This does not mean that we should stop our activities but rather postpone local investments using internal funds to 2025 and use funds from externally financed projects whenever possible.
Concerning the budgets for the coming years, estimates for 2025, 2026 and 2027 have been made and will be negotiated with the faculty. In essence our projections shows that we should be able to have a viable economy, also in the coming years, given that we are conservative with respect to use of internal funds and can benefit from the focus we have had on more balanced budgets for externally funded projects. It is thus expected that we gradually can change our portfolio of projects with less favorable budgets to new ones with more balanced budgets, including more buy-out of both TAP and VIP personnel.
Salary negotiations: The past months have also featured the annual salary negotiations and I (and Morten) hope soon to provide those of you who have asked for a salary improvement (and a few who didn’t) the results of this year’s negotiations.
Candidate reform: While we are waiting for the second report form the national Candidate reform committee, discussions has been initiated regarding the potential consequences the reform will have on our educations and on the department. Although it is too early to start detailed discussions, the current projections are that we will be allowed to maintain teaching on a level like today, given that we can attract the students. The expected decline in potential students may be a larger challenge to the departments teaching based revenue than the candidate reform will be. In short, the potential for economic growth based on teaching is limited, even so that there may be a larger potential economic incentive in reducing dropout and increasing course pass rates of students already enrolled.
Well-being, diversity, inclusion and sustainability: Well-being workshops will be held through out the department at section level. The first workshop has already been held in Section for Chemical and Bioengineering in Esbjerg and other sections will follow during the fall and early 2025. Read more about the workshop in Esbjerg later in this newsletter.
As a follow up on the Diversity and Inclusion workshop group work at the Summer seminar in August we (well actually ChatGPT harnessed by Casper Steinmann´s prompting skills) have compiled a list of suggestions which falls into 4 categories: Work-Life Balance Struggles, Lack of Inclusivity in Hiring and Leadership, Insufficient Collaboration Opportunities and Need for More Social and Team-Building Events. These topics and suggestions have already been used as a part of the backdrop for the new department strategy but will also be used as a list of suggestions for that we will work with in the coming period in the management and the Department Counsil. The analysis of the input further (due to some unprecise wording in one of the questions used) provided suggestions within the topic of sustainability: Sustainability Practices Not Fully Implemented. These, combined with the outcome of the sustainability workshop held at our 2023 Summer seminar will also be considered for potential implementation.

New department strategy: We are currently finalizing a new strategy for the department. Thanks to the Department Counsil for their invaluable work providing input to the key focus areas and defining sub-goals for these. Also, a great thanks to everybody else who has provided input to the strategy, especially as part of the open hearing.
I´m certain that we will end up with an ambitious to-do list for the management for the years to come and I look forward to starting the work together with the management and all employees.

Studiepraktik 2024
Every year in week 43, students from upper secondary education throughout Denmark are invited to an internship at Aalborg University. During this year's 'Studiepraktik', around 90 upper secondary school students gained insight into life as students at our department. The internship spanned over two days, featuring programs such as general presentations of the various courses, laboratory experiments, mini-projects in the lab, and, importantly, time to network and discuss life as a student at AAU. Thanks to the involved parties who did a great job coordinating this year's Studiepraktik.
Chemistry turning 25
On September 20, 2024, the Department celebrated 25th anniversary of chemistry at AAU. The event brought together current faculty, students, and alumni for a day of reflection and celebration. Presentations from Donghong Yu and Yuangzheng Yue highlighted the department’s impactful contributions over the years. Alumni Martin Jensen and Jakob Maennchen shared how their chemistry education shaped their careers. Guests enjoyed refreshments, explored scientific posters, and participated in lab tours, making it a memorable day for all involved.
Vernissage at BIO
On October 4, 2024 BIO hosted a vernissage to celebrate the unveiling of a new artwork by Kaspar Bonnén in the auditorium. The event began with refreshments and a welcome speech. University Director Søren Lind Christiansen then gave a presentation on the role of art at AAU, followed by Kaspar Bonnén’s introduction of his artwork and insights into his creative process. Special thanks to the art committee for initiating and organizing the event, making it a successful celebration of art and academia at AAU.
Science Day 2024
The Department of Chemistry and Bioscience recently welcomed the talented youth of tomorrow to our Science Day 2024 workshops in Aalborg and Esbjerg. High school students passionate about the environment and technology engaged in hands-on workshops, exploring biodiversity, tackling plastic waste, and learning about CRISPR gene editing. They participated in practical lab tasks, gaining insights into our educational offerings in natural sciences, technology, and engineering. The enthusiasm and curiosity of these students assure us that the next generation is ready to meet the challenges ahead.
New Email Lists for All Employees

Emergency Procedures
In case of a fire, accident, or if you need emergency services, call 112 and report the incident. Additionally, call AAU's emergency numbers:

Upon hearing any warning signal, leave the building or area immediately using the nearest escape route and proceed to the Assembly Point. In Aalborg the Assembly Point is located in the parking lot between FRB 7H and FRB 1 (North of the building). In Esbjerg the Assembly Point is behind the bike shed, near the large parking lot (there is a sign here with the text "Assembly point".
If safe to do so, assist others in evacuating. For wheelchair users, the elevators in FRB7H cannot be used during a fire. Move to a stairwell landing and wait for evacuation by emergency services if help is not immediately available.
Safety Point cabinets are installed in all AAU buildings. At BIO, the cabinet is located below the staircase on the ground floor outside the restrooms.
Aalborg University Anti-Corruption Policy
Aalborg University has recently updated its anti-corruption policy to reinforce its commitment to integrity and transparency. Approved by the rectorate on August 14, 2024, the policy emphasizes the university’s zero tolerance for corruption and outlines various forms of corruption, including bribery, embezzlement, and nepotism. All employees are required to comply with the policy, which also includes guidelines for reporting suspected corruption through AAU’s whistleblower scheme. This update is an important step in ensuring that Aalborg University continues to operate with the highest ethical standards both nationally and internationally.
New Agreement on Translation, Proofreading, and Language Editing
AAU has conducted a tender process and has entered into an agreement for the provision of services regarding translation, proofreading, and language editing. The agreementhas been made with Semantix, which has extensive experience in handling such tasks for other educational institutions in Denmark.
The agreement runs from August 1, 2024, and is mandatory to use, meaning it must be utilized unless it concerns highly specialized texts whose level of expertise requires particular empirical and theoretical knowledge that the provider cannot fulfill.
The provider has access to AAU's usual terminologies for translations. If there is a continuous or recurring need for the provision of services, this can advantageously be agreed upon with the provider.

Wellbeing and work environment workshops at the Department
Section of Chemical and Bioengineering was the first one's attending the Department's Wellbeing and work environment workshop. The workshop aims to follow up on the results from the AAU Staff wellbeing barometer and the Section had a good dialogue about their own and their shared work environment. They looked into how they can better take a shared responsibility for the work environment and better help each other out in the future. The other Sections will go through a workshop as well. We hope the workshops can create more awareness of our wellbeing so that we can all thrive at work.
New Division of Sections in the HR-team at the department
The department’s HR-team consist of Kathrine Nielsen and Christine Steenberg who are responsible for all HR-related matters at the department. It has been decided that Kathrine Nielsen will handle HR-tasks regarding Medical Biotechnology, Functional Ecology and Genomics, Environmental Biomonitoring and Environmental Microbiology. Christine Steenberg will handle HR-tasks regarding Bioresources and Process Engineering, Chemical and Bioengineering, Applied Supramolecular Chemistry and Disordered Materials.

More flexible internal rules aim to make AAU’s recruitment processes more efficient
This summer, the management approved the HR department’s recommendation to change AAU’s internal rules on the appointment of Academic Staff and simultaneously approved a proposal for better job planning. This provides the departments with a better opportunity to recruit new employees faster.
Some of the most significant changes are that the departments can continuously shortlist candidates for assessment during the advertising period, and the hiring manager (e.g., head of section, head of research group, etc.) can get involved in the recruitment process early on. Additionally, several deadlines for consultations, among other things, have been shortened. Ask our local HR-team, Kathrine Nielsen and Christine Steenberg, if you have any questions to the new process.
Competence Development
The State Competence Fund (Den Statslige Kompetencefond) is your opportunity to apply for funds to develop your skills for the future. The fund pools are replenished with new funds three times a year. The next application deadline is January 14, 2025, at 10:00 AM.
The Competence Fund contains five fund pools that you can apply for, depending on which collective agreement area you belong to. You can read more about each fund pool’s application processes, guidelines, positive lists, and the amount you can apply for on the State Competence Fund’s website (only in Danish) or contact HR and Management Consultant Kathrine Nielsen at BIO-HR@bio.aau.dk

NEW VBN AND AAU OPEN COURSES
The VBN team and AAU OPEN are pleased to present a new course catalog with offerings for Autumn 2024 and beyond.
The format for conducting these courses has changed. Instead of scheduled courses, institute staff can now request any of the offered courses, either online or in-person. Institutes with service agreements with VBN can request a course at the group or section level, while institutes without an agreement can request courses at the institute level with a minimum of 20 participants.

Unfortunately, the annual cap of the national Open Access agreements with Springer and Wiley has been reached. This means, that it is no longer possible to publish Open Access free of charge in journals covered by the agreements with Springer and Wiley.
However, the two agreements restart in January 2025, and it will be possible to publish Open Access free of charge again.
